Who We Are

Cowpe Fly Anglers runs the Cowpe Fly Anglers membership website and iOS app for member administration, fishing session records, catch returns, club communications, safety reporting, and related club operations.

Personal Data We Collect

• Member account and profile details, including member number, username, name, email address, postal address, postcode, phone number, next of kin details, membership status, EA licence details, profile photos, member notes, and profile change requests.
• Login and security data, including password hashes, two-factor authentication settings, verification code hashes, recovery or reset token hashes, API token hashes, biometric login token hashes, login events, IP address, user agent, device name, and device identifier.
• Fishing sessions and catch returns, including start and end times, session status, catch method, notes, species, fish counts, fish taken, weights, catch pins, coordinates, accuracy, location source, and captured time where supplied.
• Photos and uploads, including session photos, catch photos, gallery photos, profile photos, contact attachments, news or mailing-list attachments, and poaching report photos.
• Contact and support messages sent through the website or app, including message text, subject, attachments, read status, and related email notifications.
• Poaching and safety reports, including incident date/time, whether an incident is ongoing, approximate number of people involved, map pin, coordinates, location warning, details, photo, status, and admin review notes.
• Membership, waiting-list, renewal, and payment administration data, including submitted profile details, rules acceptance, membership or renewal status, payment option, payment notes or references, bank transfer date, instalment status, and email logs.
• App and notification data, including APNs device tokens stored as encrypted/token-hashed values, notification preferences, APNs environment/topic, and locally stored app preferences such as biometric and notification settings.
• Website and admin audit data, including page access logs, profile activity events, email delivery logs, and admin actions needed to keep accounts secure and records accurate.

Location Data

The iOS app may use device location to check whether a member is at the reservoir before starting a fishing session, to support local reservoir-exit reminders while a session is open, and to save GPS catch locations when a member chooses to add them. Members can also place manual map pins for catches, catch returns, and poaching reports. The weather feature uses the fixed Cowpe reservoir location, not the member's current location.

Why We Use Data

• To provide member accounts, app login, membership cards, renewals, and member support.
• To administer fishing sessions, catch returns, fishery records, rules, limits, and safety follow-up.
• To send account, security, renewal, contact, news, and safety notifications by email or push notification.
• To review uploaded photos, gallery submissions, contact messages, catch records, and poaching reports.
• To protect accounts, investigate misuse, maintain audit trails, and comply with club or legal obligations.

Where data protection law applies, our legal bases may include performing the membership arrangement, legitimate interests in running and protecting the club, legal obligations, consent for optional features such as notifications or public gallery use, and vital or public safety interests where reports indicate risk.

Who We Share Data With

• Cowpe admins and authorised helpers who need access for membership, support, fishery, safety, or admin work.
• Website and database hosting providers, backup systems, and server email infrastructure used to run the site and send messages.
• Apple services used by the app or site, including Apple Maps/MapKit and MapKit JS for maps, Apple WeatherKit for Cowpe weather, Apple Push Notification service for push notifications, and Apple device services such as Keychain, Face ID/Touch ID, camera, photos, and location permissions.
• Payment administration is handled manually by Cowpe using payment options, references, bank transfer dates, and instalment records. The inspected code does not include Stripe, PayPal, or another hosted card processor, and Cowpe does not store full card details in this system.
• Police, regulators, insurers, or professional advisers if needed for legal, safety, or serious incident reasons.

The current iOS codebase does not include third-party advertising, analytics, or crash-reporting SDKs.

Retention

We keep member, fishing, renewal, contact, safety, and audit records for as long as needed to administer the club, maintain accurate fishery and membership records, resolve disputes, meet legal or insurance needs, and protect accounts. Some records may be kept after a membership ends where they remain relevant to club records, safety, payment administration, or legal obligations. Optional uploads or public gallery items may be removed or unpublished following admin review or a valid request.

Security

The system uses account authentication, role-based access, encrypted personal fields, token hashes, password hashing, API bearer tokens, secure iOS Keychain storage for app tokens, and admin-only review areas. No system can be guaranteed completely secure, but Cowpe takes reasonable steps to protect member information and limit access to people who need it.

Your Rights

You can ask Cowpe to provide a copy of your personal data, correct inaccurate information, delete information where deletion is appropriate, restrict or object to certain processing, or withdraw consent for optional uses such as push notifications or public gallery use. To raise a request, contact info@cowpeflyanglers.co.uk and include enough detail to identify your membership record.

If you are unhappy with how your data is handled, you can raise the issue with Cowpe first. You may also have the right to complain to the UK Information Commissioner's Office.

Updates

Cowpe may update this Privacy Policy when the website, iOS app, data use, or legal requirements change. The latest public version is available at https://cowpeflyanglers.co.uk/privacy-policy.
